NEW COMPUTER SYSTEM 7th NOVEMBER 2017 Posted on 29 Sep 2017

 The practice will be transitioning from one clinical IT system (Vision)

to another (EMIS) on Tuesday 7th November 2017.


  • This brings our computer system in line with future local NHS requirements, and other practices in the local area, enabling the CCG to collate reports quicker and easier, and many NHS Health Professionals only having to work on a single system.


  • CCG can also share data, policy guidelines and templates with us much quicker and cheaper, thereby saving the NHS some money.


  • Having the same IT system as other practices will also help support the provision of out of hours services.


  • Other benefits will include the ability to offer online services via a smartphone app. This app does not work with our current system.


  • Go live date is TUESDAY 7th NOVEMBER 2017


  • Please bear with us as there will be some inevitable disruption and possible delays during the transition period, but every effort will be made to minimize the disruption where possible and patient needs will be prioritised.



  • On the Tuesday 7th November, appointments will not start until 9:40am so the number of available appointments that day will be reduced. We are hoping to maintain a full number of appointments prior to and after that date so that should be the only day affected.


    Check In Machine:

  •  The check in machine may not be working for a few days that week so until it is up and running on the new system we apologise but patients will have to check in at reception so please arrive slightly earlier for your appointment in case there is a longer queue at reception.


  • Please be patient with all staff, both admin and clinical, as they are getting more familiar with the new system. We have organised several training sessions prior to going live, but until the new system is fully in place in November it is more difficult for staff to learn every aspect of it, and it may take them longer to do some tasks at first.


  • All external data links for blood test results, electronic prescriptions, consultant or hospital referrals, medical notes transfer from other GP practices etc all have to be reconfigured for the new system and whilst every effort has been made to ensure that these are working as soon as possible after 7th November, there may be some delays and technical teething issues to resolve.


  • From Tuesday 31st October until 8th November, these data links will have to be performed manually so please allow for some delays with the more routine tasks. Any urgent requests will be dealt with as a priority.    


    Repeat Prescriptions :

  • Please can we ask that any Repeat prescription requests are NOT given to us, if at all possible, in the period from Friday 27th October to Friday 10th November.  Please submit your requests prior to this period if you are going to run out of your medication in that period.  Any prescription request will take longer to process so please allow plenty of time before running out of your medication.


    Online access :

  • Any patient that is currently using online access (Patient Services previously know as Vision online) will have to register again with the new system (Patient Access) and there will be a new link, username and password provided to them by the new clinical system supplier. For existing users there will, however be no need to bring in your ID again.


  • Any patient wishing to be set up with online access for the first time will go through the current process of completing a form and having their 2 forms of ID checked. This access, however, cannot be set up now until the new system is in place so this access will probably not be active until mid November at the earliest.


  • Once a patient is set up and the new system is up and running, the online access will also be available to use from a Smartphone app (Patient Access). This smartphone app does not work with our current clinical system.
